Personal VFC - Features

Personal VFC stores all communication and data activities on your personal computer. It uses open source database platforms such as Firebird or MS-Access. The client was built using .NET and supports XP / Vista. It provides a powerful yet simple to use GUI making all critical information readily available at your fingertips.

Personal VFC automatically manages & archives all communication activities and links them to defined entities within the 4-D Contact Management System. The entities making up the system are Categories, Companies, Contacts and Jobs.

The Business Relations panel displays any two of the three entities at a time .  Inside the panel, there are two list boxes highlighted in red.  These are used to display the two entities selected as a parent / child relationship.

 

       

The figure above demonstrates the companies on the left, while all contacts linked to the selected company are shown on the right.  With a single click, the view can be changed to display all teams, jobs or categories associated with the selected company.  This is done by selecting the required entity. When clicked, the results will be displayed in the right side of the panel.

Email: The server automatically tracks all incoming and outgoing emails without affecting existing  Outlook functionality.  All messages tracked by are also available from within  Outlook.  uses Outlook as its default email editor.  Messages managed by are dynamically associated with defined entities such as contacts, companies, teams, jobs, etc. 

Unknown messages arriving from unfamiliar senders are systematically filtered; however they can be related to known entities if their origin is determined to be friendly.  Any subsequent messages arriving from this source will then be dynamically related to the given object. 

With a single click a user can view all inbound/outbound emails associated with a selected entity within the contact management system of the logged in user.  Moreover, each email has an associated permission control definition allowing higher level users to view and search messages sent/received by their subordinates.

Bulk Email: Bulk emails can be delivered to any  defined entity such as a category, company, team, job, etc.  Before creating the broadcast message,  permits the user to review & modify potential recipient list.  Upon creation of the bulk email all processing is handled by the  email gateway server, immediately freeing up the client resources.  In addition, the bulk email can be personalized by placing custom tags in the message text.  Each recipient will see only their name in the “To” field of the email, making the broadcast private and confidential.  A link to the broadcast email will be displayed in the outgoing -> email basket of each recipient.

Phone Call/Sip Integration: Personal VFC is fully integrated with nanoPBX.

Currently,  supports any SIP compliant PBX systems including Cisco and Asterisk.  A user can now gain all the functionality found on their high-end phone inside  , eliminating the need for a physical phone device. All that’s required is a properly assigned extension!  The above is accomplished via the built in softphone offered as an additional component.  Softphone features include: transfer, conference, hold, dial extension, view all active calls, and many more.  Making an outgoing call is a simple one click operation.  When detecting an incoming call  will display callerID data and automatically navigate the user to the view associated with the calling party.  Also, incoming and outgoing calls are transparently recorded and archived just as is the case with emails.    In addition, custom dialing rules can be setup by the administrator to further enhance usability. 

VoIP: VoIP is quickly becoming a viable alternative to traditional telephone communications by allowing users to transform their computer into a telephony device. With a single click   can automatically dial and record VoIP conversations and file them away for later review.  Currently we support the Skype client.

Voice Recording: The  Personal VFC recordings tool can be used to easily record digital dictations for any entity in the contact management system. All recordings are automatically converted to Microsoft media player format and are seamlessly archived and managed just like with emails.

Starting with the creation stage, any content created by any windows application can be directly deposited into using the applications native “save as” feature (see "My Depot"). Moreover, the document can be dynamically linked to any object within the contact management system. As previously discussed, any content deposited into the system is automatically versioned.

Calendar: Creating an appointment, or a meeting is a simple click away.  Furthermore, any such item created in  will be automatically synched to Outlook, permitting the user to keep the familiar calendaring application to which they are accustomed.  Sending a meeting request to a team or a job allows the creator to quickly and transparently distribute the invitation among the required participants, even the acceptance replies are automatically managed by the system giving a simple meeting a fresh new workflow dimension.  Meetings created outside  (in Outlook) will appear as unknown and can be linked to entities already existing in the contact management component.  As with emails, all calendar items will be automatically & neatly filed away under their collection baskets. 

Notes: Creating a note is a simple click away.  Furthermore, any such item created in  client will be automatically synched to Outlook, permitting the user to keep the familiar application to which they are accustomed.  Notes created outside  (in Outlook) will appear as unknown and can be linked to entities already existing in the contact management component.  As with emails, all note items will be automatically & neatly filed away under their collection baskets. 

can import both Address books and emails collections from Outlook.  Any imported contact and/or company will be added to the Business Relations panel.  Imported emails related to known entities will be displayed in the Activity Logs panel as known items and automatically connected to the given entity email collection basket in the Database panel.  However, if the imported email is determined to be unknown, it will be displayed as an unknown item on the Activity Logs panel and be treated as spam.  Thus, it is considered good practice to import contacts first then import emails.  This way most imported emails will be displayed as known.

Moreover, business relations from   can be exported to Outlook.  This is especially convenient when attempting to sync   data to handheld devices.

Personal VFC offers its own embedded email editor, without the need to purchase Microsoft Outlook.

Fax

 An additional productivity service contained within the function set is the ability to send and receive fax messages directly from the MS-CRM component.  Fax messages are distributed via email and delivered using the Microsoft fax service available with Windows 2003/SBS. 

Unlike traditional fax services that treat a fax as an ordinary email message with either a success or failure state, the fax service provides an online connection to the fax server.  This permits the user to obtain real time status information and instantaneous notifications of errors.  Just like with Emails, Faxes are neatly filed away within the database.  The component can also offer inbound fax management where a single fax number is used to serve multiple recipients
